    About the Role

    As Operations Coordinator, you will have responsibility for the logistics of our range of holidays. You will collaborate with fellow operations team members and external suppliers, booking and coordinating guides, hotels and other providers to ensure seamless trip delivery to our clients. This may include our range of fixed date group trips, custom trips as well as working for our B2B partners.

    In brief:

    • Job Title: Operations Coordinator
    • Location: Sligo, Ireland with hybrid option after the initial training period and on rotation with other team members
    • Type: Full-time, permanent. Typically Monday-Friday 09:00-17:30 but with flexible hours and occasional evening and weekend working – 35 hours per week
    • Office Time: 90% In the Field / Work Related Travel: 10%
    • Salary: From €28,500 (depending on experience)

    We Are Looking for Someone With:

    • Minimum of 1 or 2 years of work experience that has provided you with transferable skills suited to working in a fast-paced, customer-focused environment.
    • Relevant experience, dealing with all parts of the tourism supply chain, gained within the travel or tourism industry is a bonus but not a must.
    • Excellent computer skills – experience with cloud-based CRM systems, ideally Salesforce, as well as google apps and Mac OS is helpful.
    • Practical experience of some or all of the activities offered by Wilderness Ireland (particularly hiking and road cycling) is a distinct advantage but is not essential. 
    • Good knowledge of the regions of Ireland where Wilderness Ireland operates.
    • Highly developed interpersonal skills, awareness and emotional intelligence with an ability to develop and sustain business relationships.
    • A natural collaborator who enjoys working in teams with a diverse range of individuals.
    • A strong and clear commitment to customer service excellence and “extra mile” delivery.
    • Excellent attention to detail, even when faced with multiple tasks and deadlines.
    • Full Irish/EU driving licence.

    Key Accountabilities

    Coordinating Trip Operations:

    Ensure that all of the bookings and logistics are in place so that trips run as smoothly as possible, keeping the best possible client experience in mind at all times alongside our financial targets. 

    Pre-Season Planning:

    Alongside the rest of the Operations Team, work ahead of the season to ensure that all trips and departures are ready, incorporating improvements and feedback from clients and guides alike.

    Supplier Relationships:

    Coordinate effectively with suppliers (hotels, activity providers etc.) and our guides to ensure that they have everything that they need to provide our clients with an incredible trip while ensuring that good relations with all our suppliers are maintained.

    Your Responsibilities Will Be To

    • Ensuring all of your departures are planned and logistically set up for successful delivery in the season.
    • Working with the Operations Team in making reservations with accommodations, transport, and other service providers.
    • Following our Standard Operating Procedures to ensure established timelines and processes are followed at all trip planning and delivery stages.
    • Proactively deal with any client / guide requests arising before or during trips within your allocated set of departures.
    • Reactively support the operations team as required with unforeseen circumstances that impact trip delivery.
    • Providing an exceptional level of client care at all times.
    • Supporting and implementing any changes required on any of your trips throughout the season.
    • Actioning any necessary amendments / enhancements to your departures and improve itineraries based on client or guide feedback.
    • Ensuring all financial aspects of your trip are reconciled post-departure.
