Overview

This position is a full-time role within the Wilderness Ireland operations team. You will be responsible for ensuring that our clients experience outstanding adventures through your considered and precise logistics coordination. We are looking for someone who demonstrates the ability to work with multiple stakeholders, great attention to detail and an ability multi-task in a fast-paced environment. A good practical knowledge of the regions of Ireland where we operate, experience of some or all of the various activities we offer and an affinity for the wilder places of Ireland are key to the role.

Office Time: 90% | In the field: 10%

Salary: €24,000 – €26,000 per annum (with consideration for directly relevant experience)

What We’re Looking For

Joining our established team of Adventure Co-ordinators, you will be directly responsible for the coordination of suppliers, partners, guides and other stakeholders in order to deliver outstanding experiences to our travellers. From booking accommodation and meals, to working on the logistics of each day and communicating information to all relevant parties, you will have the satisfaction of looking after trips from the planning stage to post-trip feedback.

You will be expected to follow established processes and procedures and enter accurate data in our systems in order to facilitate the smooth running of our trips. We are looking for someone with a proven ability to prioritise and handle multiple tasks in a busy environment while maintaining a focus on delivering outstanding trips to our clients. You will also look after the basic budget for each trip, so some experience in financial reconciliation in a professional setting is an advantage.

While this is not a customer-facing role, you will work closely with our sales team to deliver exceptional, world-class travel experiences to meet and exceed our clients’ expectations. The ideal candidate will have experience in a similar role, preferably in the tourism and travel industry. We are particularly interested in hearing from candidates with experience of road cycling or hiking in many different regions in Ireland.

The Employment Package

  • Full time permanent employment
  • €24,000 – €26,000 per annum (with consideration for directly relevant experience)

Job Description

Whilst the details below do not cover every element of the Operations Co-ordinators role, they do provide a general overview of what you can expect from the role.

Location:

Co Sligo  – 90% office based

Responsibilities & Expectations:

  • Looking after all stages of trip logistics across our range of products including fixed date departures, self-drive and customised holidays.  
  • Working within the Operations Team to ensure relationships with partners and suppliers are effectively managed e.g. hotels, guest houses and activity providers
  • Working within the Operations Team in making reservations with accommodation, transport and other service providers
  • Co-ordinating all logistics for our trips
  • Communicating effectively with accommodation providers, guides, suppliers and other stakeholders to ensure the seamless running of trip logistics
  • Preparing pre-trip documentation for guides, accommodations, transport providers and other suppliers
  • Following the established procedure in accurately inputting, updating and maintaining information on our system.  
  • Assisting the sales team by ensuring bookings are effectively processed and client requests are met
  • Working with the team to ensure trips are prepped and ready to go during the season.
  • Requesting and processing invoices and overseeing financial transactions for trips.  
  • Providing an exceptional level of client care at all times. 

Skills, Knowledge & Experience:

  • Minimum of 1-year relevant experience ideally gained within the travel and tourism industry.  Experience in trip operations is an advantage.  
  • Detailed knowledge of Ireland and the travel and tourism industry, ideally possessing a good understanding of the adventure travel sector.
  • Experience of dealing with multiple parts of the tourism supply chain including accommodation, transport and other service providers.
  • Excellent ITC skills with experience of cloud-based CRM systems, ideally Salesforce, as well as Google Apps and Mac applications.
  • Practical experience of all or most of the activities, offered by Wilderness Ireland, ideally road cycling or extensive hiking experience.
  • Practical experience of the various regions of Ireland where Wilderness Ireland operates.

  • A genuine interest and passion for Ireland, wild places and adventure.
  • Proven ability to follow processes and procedures, maintaining attention to detail even during times of pressure.
